When you open the company file, you may face this error:

The QuickBooks cannot open the company file. Some other user might have been using this company file. You must advise other user to connect to the multi-user configuration. In this way, both the users can use QuickBooks company file without facing any problem. You can locate the company file in the network based Read-Only folder. If you do not know where to find the location of company file, you can ask the System Administrator to help you access that company file.

Why this error is happening?

The reasons that create this error include:

  • The workstation and QuickBooks server are on dissimilar versions of QuickBooks.
  • Many systems have turned hosting on.
  • User of the QuickBooks software has limited permissions.
  • There is problem in the service of QuickBooks Database Manager.
  • Network Data file is not present or damaged.
  • The Network Data files or the Transaction Log Files are labeled as hidden.
  • Access to the QuickBooks is blocked by the Firewall settings.
  • Network software or server scans the company file actively.
  • QuickBooks software runs pre-scheduled file backup when file is being used.
  • The company file is corrupted.

  • More than one computer systems have turned hosting on:
    • Go to the guidelines in Error: "QuickBooks was unable to open the company file." to change the hosting correctly.
    • If the same error appears again, practice another step.
  • The user of QuickBooks software has restricted permissions:
    • Go to the guidelines in Error -6138, -82: "You do not have sufficient permissions to the specified folder" to change the permissions in the right way.

  • The service of QuickBooks Database Manager does not run:
    • Start service by going to Restarting the QuickBooks Database Server Manager.

  • The Network Data file is not available or corrupted:
    • The system on which the company file is being hosted:
    • Right-click the Start button of Windows and select Open Windows Explorer.
    • Browse to specific folder that has QuickBooks company file in it.
    • Right-click company file that has as the company file and Network Data file extension and choose Rename.
    • Change company file extension from Network Data to .ndold and then press Enter.
    • Open the QuickBooks software and then open company file. QuickBooks software will make another Network Data file for company file.
    • If the same problem appears again, you should practice the next available step.
  • The network data files and transaction log files are usually labeled as the hidden files.
    • Open My Computer, choose Tools menu then click the Folder Options.
    • Click on View tab.
    • Choose the Show hidden files & folders.
    • Click on OK and then close already opened My Computer window.
    • Open the data folder to see network data files and transaction log file.
    • Right-click network data file and choose the Properties.
    • Delete Hidden option and then click OK.
    • Practice the step 6 and step 7 for transaction log file.
    • If the same problem appears again, practice the next available step.
  • Access to the QuickBooks is blocked by the Firewall settings:
    • Go to "Configuring Internet security, personal firewall and parental control applications for QuickBooks updates" for the programs that need access via firewall.

  • Network software or server scans the company file:

Backup on network or server that works to scan the local hard drive may stop access to the company files. By disabling mirroring software or backup, you can test it to identify the problem. If the error is fixed, you may experience a clash with the 3rd party software.

Due to the challenges, greater number of mirroring and backup software applications, Intuit is unable to help you fix the 3rd party software problems. However, you can get additional support from the 3rd party program vendor, network or system administrator.

  • The QuickBooks software attempts to run the pre-scheduled backup when the company file is being used:
    • Disable the pre-arranged backups temporarily and check if the issue is resolved. For additional data, go for "Schedule backups daily or on specific days and times".
    • If the same problem appears again, practice the next available step.
  • The company file of QuickBooks software is corrupted:
    • Use your network and open sample QuickBooks company file. If the company file opens, it may corrupt your company file. In such situation, you must practice one of the available options:
    • Troubled shoot of data damage to detect corrupted company file and then repair it.
    • Change the file extension from the .qbw file extension to .old file extension by renaming the corrupted company file.
